Combined Records

The Combined Records Section is responsible for the development and maintenance of offender records and the sentence calculation for approximately 37,000 inmates incarcerated in facilities of the North Carolina Department of Public Safety. Combined Records staff maintains the data responsible for determining each inmate's release date. Information is obtained from many sources including the courts, Post-Release Supervision and Parole Commission, the North Carolina Department of Justice, Attorney General's Office and federal, state and county law enforcement agencies.
 
Frequent contact is made with employees of the Division of Adult Correction and Juvenile Justice, Prisons, Community Corrections, Post-Release Supervision and Parole Commission, Attorney General's Office, judges, district attorneys, attorneys, North Carolina Prisoner Legal Services, law enforcement agencies, families of offenders, clerks of court, victims and the general public.
 
The Combined Records Section records judgment/commitments, computes inmate sentences, determines release dates, works with the prison system on time adjustments, and responds to detainer and notification requests. The Sentence Audit Team completes sentence audits for new admissions, additional sentences, sentence modifications/vacates/reversed and/or remanded for a new trial. Random sentence audits are also performed for quality assurance purposes. The Inmate Release Team approves or disapproves scheduled inmate releases 30 days prior to the release.
 
The staff in Combined Records provides auxiliary services to the Post-Release Supervision and Parole Commission, Community Corrections and the Extradition Office by providing inmate files, parole/post-release supervision files and other information. The staff also performs a variety of functions associated with the maintenance of digital and paper inmate records.
